  • Business information: invoices, client records, products, expenses, and other data you enter into the platform
  • Payment information: processed securely through Stripe, Razorpay, PayPal, or Flutterwave — we never store raw card numbers
  • Communications: messages sent through our contact form or support ticket system
  • Profile details: profile photo, address, and employment information for staff accounts

Information collected automatically:

  • Log data: IP address, browser type, pages visited, and timestamps
  • Device information: operating system, screen resolution, and browser version
  • Usage patterns: features accessed, time spent, and actions performed within the app
  • Cookies and similar tracking technologies (see Section 4)
2 How We Use Your Information

We use the information we collect for the following purposes:

  • To provide and operate Acois — process invoices, manage your CRM, generate reports, and power all platform features
  • To personalise your experience — remember your preferences, currency settings, and workflow configurations
  • To communicate with you — send transactional emails (invoice receipts, payment confirmations), product updates, and support responses
  • To improve our platform — analyse usage patterns to fix bugs, improve performance, and develop new features
  • To ensure security — detect and prevent fraudulent activity, unauthorised access, and data breaches
  • To comply with legal obligations — maintain records as required by applicable law including GST and tax regulations
We do not sell your data. Your business data — clients, invoices, transactions — is yours. We never sell, rent, or share it with third parties for advertising purposes.
3 Data Storage & Security

Your data is stored on secure servers with industry-standard protection measures in place.

  • All data in transit is encrypted using TLS/SSL (HTTPS)
  • Sensitive credentials (API keys, payment gateway keys) are encrypted at rest using AES-256
  • Regular automated database backups stored securely
  • Access controls ensuring staff can only access data within their assigned company scope
  • Role-based permissions preventing unauthorised access to sensitive modules
4 Cookies & Tracking

Acois uses cookies and similar technologies to provide and improve our service.

  • Essential cookies: Required for authentication and CSRF protection
  • Preference cookies: Remember your language, currency, and display settings
  • Analytics cookies: Help us understand platform usage to improve it
  • Security cookies: Help detect and prevent fraudulent activity
5 Third-Party Services

Acois integrates with third-party services, each operating under their own privacy policy:

  • Payment Gateways: Stripe, Razorpay, PayPal, Flutterwave
  • AI Features: OpenAI (GPT-4o-mini) — only anonymised query data is sent
  • Social Media: Facebook, Instagram, LinkedIn, Twitter/X, YouTube, Pinterest — when you connect your accounts
  • WhatsApp Business API: Meta's platform when you configure your own API credentials
When you connect third-party accounts, you are also subject to those platforms' own terms and privacy policies.
6 Your Rights

Depending on your location, you may have the following rights regarding your personal data:

  • Right to access: Request a copy of personal data we hold about you
  • Right to rectification: Request correction of inaccurate or incomplete data
  • Right to erasure: Request deletion of your personal data, subject to legal obligations
  • Right to portability: Request your data in a machine-readable format
  • Right to object: Object to certain processing, including marketing communications
7 Data Retention

We retain your data for as long as your account is active or as needed to provide services:

  • Active account data: duration of subscription plus 90 days after cancellation
  • Financial records (invoices, payments): up to 7 years for tax compliance
  • Log data and usage analytics: up to 12 months
  • Support tickets and communications: 3 years
8 Children's Privacy

Acois is intended for use by adults and organisations. We do not knowingly collect personal information from individuals under the age of 18. If you believe a minor has provided us with personal information, please contact us immediately and we will delete such information.

9 Changes to This Policy

We may update this Privacy Policy from time to time. When we make significant changes, we will:

  • Update the "Last Updated" date at the top of this page
  • Send an email notification to registered account administrators
  • Display a prominent notice within the Acois platform
